In order to ensure a smooth and organized travel experience for all members of Bay to Bay Volleyball Club, the following travel policies have been established.
Travel Recommendations
- Travel Arrangements: Families are responsible for arranging their own travel to and from all travel tournaments. This includes both driving or flying arrangements.
- Earlier is better: Whether you are driving or flying to a tournament, we always recommend that an earlier arrival the day before the event begins the better. This allows athletes to stretch out their legs and get a good night of sleep prior to starting the tournament.

- Return flights after 6:00 pm: There is no way to know when a tournament will end on the last day of play. Typically the last matches are scheduled to begin no later than 3:00 pm so we always strongly encourage families to book their return flights no earlier than 6:00 pm on the final day of play
Hotel Arrangements
- Team Hotel: A required team hotel will be designated for each travel tournament. The club will provide a booking link for all families to reserve their rooms via email. It is required by the tournament that families stay at the designated hotel to gain entry into the tournament (Stay-to-Play policy).
- Hotel links are typically sent out to club members 4-5 months in advance of the tournament via club email
- Arrival Time: Players must arrive at the designated team hotel at least one day before the tournament begins. This is to allow for proper rest and preparation before the tournament as well as allow some wiggle room in case of unforeseen travel disruptions.
Athletes Traveling Without a Parent
All athletes must have a parent or guardian with them while at any of our travel tournaments. If a player is traveling without their parent, the family must pre-arrange for another family in the club to act as that athletes guardian during the event. It is not the coaches responsibility to watch the athletes outside of the assigned competition times.
When families arrange another guardian for their son at one of the travel tournaments, please make sure to:
- Add the guardians name on the hotel reservation (you can not check into a hotel if you are under the age of 18 so an adult will need to accompany the athlete during check in)
- Alert the coaching staff prior to the tournament of who will be in charge of their son during the event to ensure all parties are on the same page
